About the Role
You'll serve as the operational backbone of Momento Foundation, working side by side with Executive Director Kristyn Back to turn vision into execution.
You'll refine the operational infrastructure that allows Momento to scale — including standard operating procedures, managing a growing team, overseeing communications, and ensuring that the day-to-day runs smoothly so our Executive Director can focus on fundraising, partnerships, managing the board, and strategic growth.

What You'll Do
Operational Systems & Strategy
You'll evaluate the current systems, make adjustments, and design & implement new ones as needed that allow Momento to grow sustainably.
- Build, document, and continuously improve standard operating procedures across all organizational functions
- Identify operational bottlenecks and develop solutions that create efficiency without sacrificing the personal, compassionate experience families and photographers expect from Momento
- Partner with Kristyn on strategic planning — translating organizational goals into operational plans with clear timelines, owners, and milestones
- Evaluate and optimize the organization's technology stack (Asana, HubSpot, ShootProof, Kit, and others) to ensure tools are working together effectively
- Develop scalable workflows that support program growth — preparing Momento to serve more families without proportionally increasing staff workload
Team Management
You'll lead and support a small but growing team, starting with our Program Coordinator.
- Directly manage the Program Coordinator (currently focused on family-photographer matching, session coordination, and gallery/print fulfillment) and any future staff or contractors
- Set clear expectations, provide regular feedback, and create a supportive remote work environment
- Identify when and where additional team capacity is needed and make recommendations for hiring or contractor support
- Ensure team members have the tools, training, and documentation they need to succeed independently
Communications
You'll collaborate with Kristyn on the communications engine that keeps Momento's community informed, engaged, and connected to the mission.
- Contribute to newsletter strategy and execution via Kit, ensuring consistent, compelling storytelling
- Strategize on the direction we want to take with platforms, knowing most profit over people’s unwellness. Manage social media presence accordingly to do our best to support people in mental/emotional health and healing.
- Support Community Engagement (option to keep the book club going or not, blog stories, etc.)
- Coordinate photographer appreciation, partner communications, and donor acknowledgment touchpoints in collaboration with Kristyn
- Ensure all external communications reflect Momento's brand voice — warm, authentic, and mission-centered
Program Growth & Scaling
You'll help Kristyn think about what's next — and build the operational foundation to get there.
- Contribute to strategic conversations about expanding Momento's geographic reach, service model, or program offerings
- Research and recommend best practices from comparable nonprofits that have scaled successfully
- Track and report on key program metrics to inform growth decisions
- Support the development of new initiatives from concept through operational launch
Requirements
- Self-disciplined, organized, and thoughtful approach to work
- Ability to thrive in a remote work environment with minimal supervision
- Flexibility to adapt to change and support new initiatives
- Familiarity with Google Suite, Hubspot, Asana, Slack

Nice to Have
- Experience in nonprofit operations, preferably in organizations that have navigated growth or transition
- Background in communications, content strategy, or community management
- Experience managing remote teams

- Compensation: $75,000 annually
- Reports to: Kristyn Back, Executive Director
- Direct reports: Program Coordinator (part-time)
